If you wish not to lose the details and skip the steps, help the teams by fully committing to a project management system that centralizes your communication and streamlines your workflow.
- Create Templates & Checklists: Collaborate with the teams to ensure everyone is using project management systems aligned with specific project needs. However, keep templates and checklists handy for repetitive tasks to save time and effort.
- Share the Org Chart: The Org charts can clearly specify who is responsible for each task in hand, and who should be contacted to resolve a query. This will help the project managers handle everything seamlessly. Instead of assuming who needs nudging or where to turn for help, the Org chart is a much handy-dandy way to get clarity over the tasks each individual needs to finish.
- Regular Team Meetings: Communication is crucial for project management, and an ideal PMO should be equipped with enough data and information to facilitate project teams. Scheduling regular meetings with the project teams headed by the project managers can help everyone become aware of schedules, issues, and upcoming projects.
- Interfere When Necessary: Even the most easygoing team hits a snag occasionally. It is absolutely normal but equally challenging for the project management team. So, be prepared in advance to facilitate and smoothly resolve such issues whenever they pop up. The PMO must act as a referee when things get thorny, and once the project managers know you are willing to play this role, they can sit back and do their jobs.
